Terms and Conditions for Reservation and Payment of MONARCH Ltd.

Dear clients,

To make a reservation, it is necessary to provide the following personal data: name, address, telephone number, and e-mail.
The data you provide is protected in accordance with the Personal Data Protection Act and the regulatory acts governing information security and is processed solely in connection with fulfilling the established requirements of the Tourism Act.
The information provided by the User will be used only and exclusively in connection with their reservation and will not be shared for other purposes.

Before submitting a reservation request, it is the User’s responsibility to familiarize themselves with the General Terms and Conditions for Reservation and Payment of “Monarch” Ltd.
The parties to the agreement are “Monarch” Ltd. and the User. If a third party has made a reservation on behalf of the User, that person assumes obligations towards “Monarch” Ltd. for all duties arising from the accommodation contract as a joint debtor together with the User.
Every reservation will be considered an act (or request) to purchase the corresponding accommodation specified in that reservation. If any of the payment terms for the confirmed reservation are not met, it will be considered canceled by the User.

The User must agree to and accept these terms. If the User does not accept the General Terms and Conditions for Reservation and Payment, their request will not be processed.

Reservations, Registration, Accommodation:

Reservations can be made in one of the following ways:
a. By completing and submitting an online reservation form on the website of Hotel Iceberg

c. By phone: +359 897 88 34 46 or +359 897 88 34 48

After we receive and process your request, you will be notified whether your reservation can be made.

Accommodation Conditions:

Check-in: After 14:00
Check-out: Until 12:00

Reservations are held until 20:00 on the day of arrival. In case of delay, please inform the hotel!
Check-in is carried out upon presentation of personal identification documents of the User who made the reservation, proof of payment, and accommodation confirmation.
Pets are not allowed.

Prices and Payment:

The prices published on the website of “Monarch” Ltd. are gross prices including VAT, tourist tax, and hotel insurance. The total amount owed by the User is calculated depending on the number of days, adults and children, services, etc.
“Monarch” Ltd. reserves the right to change the prices and special offers on its website. For already made, confirmed, and paid reservations, the amount does not change regardless of any new price offers.

Once the reservation is confirmed by “Monarch” Ltd., the User must pay 100% of the amount due for that reservation within 24 hours. If payment is not received within this period, the reservation is automatically canceled.

If the User is unable to pay for an already made reservation, they must inform “Monarch” Ltd. at:

If this condition is not met, “Monarch” Ltd. is not responsible—morally, materially, or otherwise—for the cancellation of the reservation.
Your reservation is valid and considered final only after 100% payment of the amount and receipt of an accommodation confirmation. The confirmation will be sent electronically upon successful payment and correctly entered contact details.

The User confirms that they are of legal age (18+).
It is the User’s responsibility to check their reservation and ensure that all details are correct.

Cancellation and Reservation Changes:

Any cancellation, no-show, or change to an already paid reservation must be sent in writing by the User to:

“Monarch” Ltd. refunds, upon request, paid amounts, deducting a penalty as follows:

a. Standard periods

If the User cancels a reservation, cancellations without penalty are allowed up to 14 days before the check-in date, with only a 5% transaction fee applied.
After this period, “Monarch” Ltd. retains as a penalty the cost of **1 overnight stay per person** according to the booked services + 5% transaction fee.

In case of no-show, “Monarch” Ltd. retains as a penalty the cost of **2 overnight stays per person** according to the booked services + 5% transaction fee.

b. Holidays and special periods

If the User cancels a reservation concerning periods during Regional or National Holidays, including New Year, Easter, Christmas, Students’ Holiday, as well as weekends (Friday and Saturday):
– Cancellations up to 14 days before arrival: penalty of **1 overnight stay per person** + 5% transaction fee.
– After this period: cancellations are NOT accepted, the amount is NOT refunded, and the reservation is considered canceled.

c. Refund processing

Refunds are issued only to the same card or bank account used for payment, within **30 days** from the cancellation date and according to the previous conditions.

d. Force majeure

“Monarch” Ltd. reserves the right to cancel a confirmed and paid reservation in case of force majeure or reasons beyond its control. In such cases the company will:
– Offer the User a stay for another period under the same conditions and price, OR
– Refund the amounts paid within 30 days from receiving the User’s written request, without owing any penalties.

Payment Methods:

Payment can be made in the following ways:

1) Online by debit or credit card:

VISA, VISA Electron, MasterCard, Maestro, and cards with the BORICA logo.
(Ensure your card is activated for online transactions.)
A payment page of our servicing bank (Unicredit Bulbank) will open where you enter your card details.
If registered with Verified by Visa or MasterCard SecureCode, an authentication page will appear.
After a successful transaction, you will see a transaction receipt that you may print or save.
Amounts are charged automatically at the moment of online reservation.

2) Through Epay.bg or PayPal.com

Payments are processed through these platforms, which guarantee your reservation.
“Monarch” Ltd. does not receive any card data.

3) Bank transfer

– Payment must be made within the deadline provided after reservation.
– After payment, a copy of the payment receipt must be emailed to: [iceberg@monarch.bg](mailto:iceberg@monarch.bg)
– For online banking, payment details must be emailed as well.

4) At the office of “Monarch” Ltd.

– Payment must be made within the specified period.
– When paying in the office, you must present a printed copy of the reservation confirmed by “Monarch” Ltd.

Notes:

– If an online reservation is not paid in time, or no payment proof is sent for bank transfers, the reservation will be automatically canceled.
– For reservations with arrival on the next day, it is recommended to pay by debit/credit card for faster processing.

Additional Conditions:

“Monarch” Ltd. provides hotel services according to the reservation request made via website, email, or in the company office, and according to these Terms and Conditions.

1. Rights and obligations of the parties:

1.1. “Monarch” Ltd. is obliged to provide the User fully with the services paid for.
1.2. Prices of paid services may not be changed except in exceptional and economically justified cases.
1.3. If the User requires additional services (food, accommodation specifics, etc.), these must be stated during reservation request. “Monarch” Ltd. will try to fulfill them but does not guarantee unconditional execution.
1.4. Reservations made by phone must be confirmed in writing via email or the online reservation form on the Hotel Iceberg website.
1.5. For cancellations of confirmed reservations (unless otherwise specified), penalties apply according to the Cancellation Terms.
1.6. “Monarch” Ltd. is not responsible for cancellations caused by force majeure such as war, terrorism, strikes, epidemics, natural disasters, etc.
1.7. “Monarch” Ltd. is not responsible for damages caused by third parties.
1.8. Complaints related to service quality must be submitted on-site in the hotel, in writing, to allow correction. If unresolved, the User must request a protocol. Within 10 working days, the Hotel Manager will issue an official response.
1.9. Refunds for services not fully used due to fault of “Monarch” Ltd. or its contractors are issued only upon presentation of all issued documents (vouchers, tickets, etc.) with corrections certified by company representatives.
1.10. Refunds are not issued for services unused due to the User’s fault.
1.11. All prices listed on the “Monarch” Ltd. website and emails are in Bulgarian lev and final (unless part of promotions or package conditions).
1.12. “Monarch” Ltd. reserves the right to expand or modify functionalities and products on its website; changes will be published accordingly.
1.13. The User confirms that the provided telephone numbers and e-mail are valid and can be used for communication by “Monarch” Ltd.
1.14. Documents issued for a confirmed and paid reservation:
• Reservation confirmation (guaranteeing the right to accommodation)
• Invoice for the paid amount

The transaction currency for card payments is Bulgarian Lev (BGN).
If prices in other currencies appear on the site, they are for information only.
Your reservation is guaranteed only after payment is made.
